Volunteer jobs fall into the following categories:

Before the sale week
These are jobs that happen well before the sale starts, between February and Early May.
Role summary
Prepare bag bundles so volunteers can quickly bag lily bulbs and daylily roots during the sale.

- Sort plastic newspaper bags.
- Count bags into set quantities.
- Bundle bags together for easy use at the bulb/root bagging area.

Role summary
Help spread the word about the Plant Sale by delivering printed catalogs to various locations!
This role is split up into two job types, you will only sign up for one:
- General Areas: Deliver to local businesses, and keep them stocked.
- Libraries: Deliver to libraries in the specific county you signed up for.
Metro area. Mode of transportation required. Low-activity role.
What you’ll do
- Pick up catalogs at Friends School of Minnesota when they’re available (you’ll receive pickup details in March).
- Distribute at least 300 catalogs to your locations.
- At each location, speak with a manager or supervisor and get permission before leaving catalogs.
- Return to your locations periodically to restock catalogs as needed.
- Track your locations and restock visits in the Plant Sale Committee’s Google Sheet.

You will be contacted in March when catalogs will be available for pickup to distribute by Hilary or Steve. Pickup catalogs at Friends School of Minnesota.
Role summary
Collect and store at least 500 strawberry/tomato produce boxes from a grocery store near you so we have enough boxes ready for the Plant Sale.
Twin Cities. Driving required. Moderate-activity role.
What you’ll do
- Identify a grocery store near you that is willing to save produce boxes.
- Coordinate with the store’s produce manager to set a consistent pickup schedule (usually daily or every 1–2 days).
- Pick up boxes on your scheduled days, transport them, and store them safely until the sale.
- Keep boxes dry and stacked neatly.
- The Plant Sale team will collect the boxes from you during the week of the sale and bring them to the Fairgrounds.
Space & storage expectations (important)
- Boxes are light but bulky and take up space.
- A car load is typically 30–70 boxes (depending on vehicle size).
- 500 boxes stacked about 8 feet high take roughly 100 sq ft (about the space of one car).

- Check with the Box Collection Coordinator to confirm no one else is collecting from the same store.

- Be able to follow a consistent pickup schedule—stores rely on you showing up when scheduled.
- Storage location must be within 15 miles of the State Fairgrounds.
- Collect at least 500 boxes (more is welcome if you have space).

Setup
Setup volunteers transform a completely empty Grandstand into the Plant Sale! Shifts start the Saturday ahead of the sale week, and assist with construction of tables, sign hanging, and other tasks.
Role summary
Help prepare for the Plant Sale by pulling stored materials at the school and loading them into a truck for transport.
Offsite. Located at Friends School of Minnesota. High-activity role.
What you’ll do
- Remove items from storage at the school (tables/supplies/materials as directed).
- Carry and stage items for loading.
- Load items into the truck and help organize/secure the load as needed.
- Keep pathways clear and the loading area safe.

Indoors. Requires at least 5 years experience operating scissor lifts. Moderate- to high-activity role.
What you’ll do
- Operate the scissor lift to position the platform for sign hanging during setup.
- Work with a teammate on the platform to hang signs safely and accurately.
- Coordinate with a third volunteer on the floor for positioning, handoffs, and area safety.

- At least 5 years of scissor lift operating experience (required).

What you’ll do
- Work as a team of two (recommended).
- Pick up approximately 40 lawn signs from the Grandstand on Tuesday before the sale.
- Use the provided map to distribute and place signs at designated corners near the Fairgrounds by 8:00 AM Wednesday morning.
- After the sale, pick up the same signs on Sunday afternoon/evening and return them to Friends School of Minnesota sometime that week.

These are roles that support other volunteers in their roles, such as cleaning aprons, assisting in the food area, etc. These shifts run throughout the sale week.
Role summary
Support volunteers throughout the day by running check-in/check-out at the Volunteer Desk, distributing supplies, and helping keep arrivals and departures running smoothly.
Outdoors. Low- to moderate-activity role.
What you’ll do
- Check in volunteers as they arrive and check them out when they leave.
- Hand out aprons and name tags.
- Prepare name badges by repeatedly stuffing/unstuffing name inserts (repetitive hand work).
- During busy times, move around the Volunteer Desk area to welcome volunteers, answer quick questions, and keep lines flowing.
- Call volunteers who have not arrived for their shifts (as directed), and document updates so coordinators know who is on-site.
- When check-in/out is slow, you may be assigned other nearby tasks around the sale.

Help keep volunteers supplied with clean aprons by taking a batch home to wash, dry, and fold, then returning it the next morning.

What you’ll do
- Pick up worn aprons in the evening at the Volunteer Desk at the Plant Sale.
- Take laundry home and wash, dry completely, and fold all aprons.
- Return clean, folded aprons the following morning.
- Refer to the individual shifts for the specific pickup and dropoff times.
- Sunday laundry: has an alternate dropoff location on Monday (see shift details).
- Return laundry in the provided containers (we provide laundry bags for return).
Quantity & handling (important)
- Each batch is approximately 125–200 aprons.
- Laundry is picked up in laundry bags weighing about 20 lbs total.

Role summary
Support the coordinator/management volunteer meal area by receiving prepared meals, reheating and serving food, keeping the space clean and organized, and creating a welcoming, calm environment for volunteers working long days.

- Work independently and with the Food Area Coordinator to:
- Receive made-ahead meals and supplies
- Reheat and set up food for service
- Serve food to management-level volunteers during meal windows

- Be a friendly, helpful presence—answer basic questions about the food area and direct volunteers as needed.

Zero Waste
The Plant Sale strives to be as close to a zero waste event as we possibly can, which requires a lot of work! Zero Waste positions run throughout the entire sale week, from managing setup debris, to assisting customers sorting their trash, to final cleanup once the sale is over.

Help reduce the sale’s footprint by setting up clearly labeled waste stations before the sale opens.

What you’ll do
- Set up waste stations in assigned locations (bins/frames/signage/supplies as directed).

What you’ll do
- Water plants using:
- A large rolling cart with a 50-gallon water tank, battery-powered pump, and hand sprayer, and/or
- Watering cans (as directed).
- Monitor plant moisture closely—because more of the sale is outdoors, some plants may be extra dry or too wet depending on sun/rain/wind and plant type.
- Water carefully to avoid overwatering, splashing signage, or creating slippery areas.
- Keep pathways clear and communicate with leads if you notice sections that are consistently too dry/wet.

- Movement: Walking and being on your feet throughout the shift (often up to 4 hours)

Important note about accommodations
This role requires being on your feet and walking for an extended period (often up to 4 hours) and may require pushing a large water cart. Cleanup after the sale
Once the sale is over we need to take everything apart to put into storage, and leave the Grandstand as clean as when we found it. These shifts run from Saturday through Monday.
Role summary
Help close down the Plant Sale by disassembling tables and racking and loading materials for transport and storage. On Saturday help prepare for full teardown by walking the site, identifying what needs to be disassembled and moved, and getting areas staged for efficient deconstruction.

What you’ll do
- Disassemble tables and shelf racking.
- Stack and organize lumber, racking pieces, and hardware for loading.
- Load trailers with lumber, racking, and shopping carts.
- Help keep the teardown area safe and tidy as work progresses.

Role summary
Close down the coordinator/management food area after the sale by cleaning, organizing, taking inventory, and packing all supplies for storage until next year.
Inside Volunteer Tent. Moderate-activity role.
What you’ll do
- Wash dishes and clean food-service items.
- Take inventory of remaining supplies and pack items in the correct bins/locations.
- Clean and empty the refrigerator (wipe down shelves/drawers, discard items as directed).
- Break down the food area setup (tables/shelving/containers as applicable).
- Pack all supplies onto pallets for storage, following the coordinator’s system.
- Work as a team with the Food Area Coordinator and another volunteer on the shift.

- Enjoy organizing and putting systems back in order
- Comfortable following a packing/inventory process

Accessibility note (team option)
This role involves some lifting, but it is staffed with two volunteers plus the Food Area Coordinator who can assist. A team approach can work well (for example, one person focusing on lifting/moving while the other directs, inventories, labels, and organizes).

There may be an opportunity to take some leftover food home (as available and as directed).

- For signs hung from the ceiling, work as a team:
- Two volunteers work from a height on a cherry picker/lift platform to remove signs.
- One volunteer assists from the floor with handoffs, positioning, and maintaining a clear safety zone.

Role summary
Operate a scissor lift to remove and organize overhead signs during breakdown.
Indoors. Requires at least 5 years experience operating scissor lifts. Moderate- to high-activity role.
What you’ll do
- Operate the scissor lift to position the platform for sign removal.
- Work with a teammate on the platform to remove signs safely and accurately.
- Coordinate with a third volunteer on the floor for positioning, handoffs, and area safety.
- During breakdown, remove signs and organize them for storage.
Requirements (must meet)
- At least 5 years of scissor lift operating experience (required).
- Comfortable working 10–20 feet above the floor.
- Ability to lift and handle materials up to 30 lbs.
- Ability to bend, reach, and perform hands-on tasks throughout the shift.

Role summary
Drive to locations around the State Fair grounds based off a provided map to pick up A-frame signs, disassemble them, and return them to the Grandstand.
Off-Site. Outdoors. Must provide own vehicle. Moderate-activity role.
What you’ll do
- Work as a team of two to pick up approximately 40 A-frame signs from around the fairgrounds using a provided map.
- Transport signs in your own vehicle and return them to the Grandstand.
- Confirm you have picked up all signs on the map by checking off as you go (attention to detail matters).
- Disassemble signs from A-Frames.
Requirements (must meet)
- Team of two recommended (best done together).
- Must provide your own vehicle with enough space to haul multiple 27” x 46” A-frame signs. Larger car or pickup truck is recommended.
- Good sense of direction and ability to follow a map.
Accessibility & fit

- Environment: Outdoors; variable weather; walking on paved areas with some possible uneven ground
